YOUR ROLE AS an Executive, People Operations
This role is to manage end-to-end staff lifecycles and People Services operations, including onboarding/offboarding, inventory procurement, and facilities coordination. Oversee expatriate visa compliance and administrative logistics while acting as a key liaison for third-party vendors and retirees. Ensure organizational efficiency through proactive document management, hardware provisioning, and the execution of corporate events.
WHAT YOU’LL CHAMPION:
Onboarding
Facilitate end-to-end onboarding by scheduling sessions, distributing agendas, and ensuring the seamless collection of all required personal documentation.
Execute and manage employment compliance by securing signed Employment Agreements, Non-Disclosure Agreements (NDAs), and internal policy acknowledgments.
Provision digital workspace access, including the creation of official company new staff email accounts and secure system login credentials for all new hires.
Coordinate cross-departmental logistics to ensure the timely delivery of hardware (laptops), employee identification, and physical security access (door badges)
Provide information on company benefits and answer any inquiries
Offboarding
Coordinate and notify related parties,including Payroll, Finance, and IT to ensure timely processing of final pay and the immediate revocation of system access.
Manage to communicate with terminated staff for timelines, and transition expectations clearly and empathetically.
Distribute comprehensive offboarding checklists to ensure employees understand their final obligations and administrative requirements.
Ensure the exit clearance process, including the recovery of company assets (hardware, badges, and keys) and the verification of final documentation.
Maintain secure and compliant personnel files, ensuring all termination records and exit documentation are archived according to legal and company standards.
People Services
Issue formal reference letters tailored to specific professional or personal requirements according to staff’s requests
Manage apparel and stationery inventory, overseeing the distribution of company uniforms and branded attire to eligible staff
Manage and outsourced service operations, serving as the primary liaison between internal departments and third-party vendors to ensure seamless service delivery.
Arrange facilities for People and Culture event such as Annual Health check-up
Facilitate ID card replacements as required and oversee access control protocols for outsourced personnel
Liaise with retirees to facilitate the completion of exit documentation and related concerns
Manage and plan for Retirement celebration and long Service Award Ceremony for staff
Visa & Work permit
Get required documents from company and government office for visa & work permit apply & renew
Keep tracking of expatriate’s visa & work permit expiry
Coordinate with agent in order to get visa & work permit for expatriate staff
Administrative tasks
Manage the procurement process by initiating Purchase Requests (PR) for all People and Culture Department
Oversee inventory levels for stationery and office supplies, ensuring essential materials such as ID cards, paper, and ink are consistently stocked
Coordinate with technical service providers to ensure the timely repair and maintenance of office machinery and other related tasks as assigned
WHO YOU ARE:
Bachelors Degree in Human Resources, or relevant fields
At least 2 years of relevant experience in onboarding program, staff activities, HR administrative tasks, and general affair in a fast pace and dynamic workplace
Experience in directly dealing with staff and departments
Profession in communication and negotiation in English and Thai
Self-starter, fast learner, enthusiastic and positive nature personality and able to work under pressure with tight deadline
A commitment to success, driven and motivated mentality with ability to work well with a team in reaching a common goal.
